Confirm the Book Before Mass Production
Proofing is the approval stage between quotation and bulk production. It allows publishers, educational companies, children’s brands and importers to confirm that the supplied artwork and production specifications can be converted into the intended finished book.
The required approval method depends on the book structure. A digital proof may be sufficient for a standard softcover title, while a board book, hardcover book or project with die cutting, foil, flaps or unusual packaging normally requires a physical sample.
Our review follows the agreed specification for trim size, page count, paper or board, binding, color, finishing and packaging. Bulk production begins only after the required files and samples have been approved.
Digital Proofs for Artwork and Page Checking
Digital proofs are mainly used to check content rather than reproduce every physical characteristic of the finished book. They help confirm:
- Trim size, bleed and safe areas
- Page sequence and orientation
- Image placement and cropping
- Text, fonts and basic color setup
- Cover layout, spine width and barcode position
- Separate files for foil, spot UV, embossing or die cutting
Print-ready PDF files are preferred. Before proofing, the files should be prepared according to the requirements explained on our Artwork, Size & Page Setup page.
Digital proofs normally take approximately 2–4 working days after complete files and specifications are received. Timing may change if artwork corrections or structural revisions are needed.
Physical Samples for Materials and Construction
A physical sample is recommended when the buyer needs to evaluate paper feel, board thickness, binding behavior, color appearance, surface finishing or structural performance.
Several sample formats may be used:
- A material swatch for paper, board or cover comparison
- A white dummy for size, page thickness and book construction
- A digitally printed sample for layout and general appearance
- A production-style sample for critical color, binding or finishing approval
- An existing reference sample when only material or workmanship needs review
Standard physical samples normally require about 5–10 working days. Board books, complex die-cut structures, interactive elements or multiple finishing processes may take longer. Material selection should be confirmed through the available Paper & Board Options before the sample is produced.
What the Buyer Should Approve
The sample should be reviewed against the quotation and specification sheet, not only by general appearance. Buyers should check the finished size, page count, paper, board thickness, binding, opening behavior, color, lamination and special finishing.
For children’s books, particular attention should be given to page sequence, rounded corners, die-cut edges, mounted board alignment and the strength of glued or assembled structures. Packaging size, individual wrapping, labels and carton marks should also be approved when they form part of the order.
Comments should be consolidated into one clear approval document. Marking revisions directly on the PDF or supplying annotated photographs helps prevent unclear instructions.
Sample Cost, Revisions and MOQ
Sample cost depends on the book size, materials, page count, binding and finishing. A simple digital proof costs less to prepare than a production-style hardcover or board book sample requiring special tooling and manual setup.
Changes after the first sample may affect sample cost and timing. Artwork corrections are usually easier to manage than changes to paper thickness, binding construction, die lines or finishing positions.
MOQ is confirmed separately for each project. Standard book orders commonly begin at approximately 500–1,000 copies per title, while board books and highly customized structures may require around 1,000–3,000 copies. Final quantity requirements depend on the approved specification.
From Approved Sample to Bulk Production
Once approval is received, the confirmed files, material references, color requirements and finishing positions become the production standard. Standard mass production normally takes about 25–40 days after approval; complex books or peak-season orders may require approximately 40–50 days.
Production copies are checked against the approved sample for printing registration, page sequence, binding, finishing, size and appearance. These checkpoints are explained further on our Quality Control & Inspection page.
Information Needed to Arrange a Sample
Please provide the print-ready PDF, finished size, page count, paper or board preference, binding method, finishing requirements and intended order quantity. For special structures, include a dieline, technical drawing, photographs or a reference book.
Also state what the sample must confirm: artwork only, material selection, color, construction, finishing, packaging or the complete finished book. This allows us to recommend an appropriate proofing method and advise the sample cost, preparation time and delivery arrangement.
